Cyberattacks and breaches can spike during the
holidays if communities aren't careful. Protect
contracts, resident databases, banking information,
and other confidential documents with the right
systems. Check your governing documents and
local, state, and federal regulations for specific
requirements, processes, and procedures concerning
data security. Generally, you can do these four things:
• Reduce Credit Card Fraud: Card numbers
should never be shared loosely, and all
community members should be on high
alert for scams. Only transact with trusted
businesses and individuals.
• Prevent Identity Theft: As required by law, the
most important information about community
members should remain confidential. Make
sure homeowner data is encrypted by the
technology and you have insurance to protect
the association in the event of a breach.
• Secure Community Software: Limit access
to your community's databases so entry
information cannot spread. All programs and
files need to be password-protected, and
those passwords should also be secured and
rarely, if ever, shared.
• Pick the Right Technology Partners: Boards
should extensively vet their partners
for technology platforms, focusing on
data storage, innovation, security, and
implementation to confirm any technology
used will protect the HOA's assets.
